This page summarises the main terms for hiring rooms at Bristol Therapy Rooms. It is intended as a clear public summary rather than the full hire agreement. The full hire agreement is sent during onboarding and may contain additional detail.

Please contact us before joining if anything is unclear.

Room hire

Bristol Therapy Rooms provides therapy rooms for independent practitioners to hire. The rooms are suitable for counsellors, psychotherapists, bodyworkers, massage practitioners, reflexologists, coaches and other therapeutic practitioners.

Hiring a room at Bristol Therapy Rooms does not create a tenancy, lease, employment relationship, partnership or agency relationship. Therapists remain independent practitioners and are responsible for their own professional work.

Practitioner requirements

Rooms are available to suitable therapeutic practitioners. Practitioners must hold appropriate professional insurance for the work they carry out and are responsible for working within their qualifications, experience, professional standards and scope of practice.

We may ask for relevant professional information, insurance details or other suitability information before confirming room use.

Professional responsibility

Practitioners are responsible for their own clients, client records, confidentiality, safeguarding responsibilities, supervision, professional conduct and legal obligations.

Bristol Therapy Rooms provides room hire only. We do not employ, supervise, endorse or clinically manage the independent practitioners using the rooms.

Bookings

Bristol Therapy Rooms offers both fixed weekly slots and flexible ad-hoc bookings.

Fixed weekly slots are agreed by email and are for practitioners who want regular room use at the same time each week. Flexible ad-hoc bookings are available after onboarding and are made through the online booking system.

All bookings are subject to room availability and suitability.

Fixed weekly slots

Fixed weekly slots must be for at least 3 consecutive hours. Custom start and finish times are welcome, subject to room availability.

One calendar month’s notice applies to ending or changing a fixed weekly slot, subject to the hire agreement.

Flexible ad-hoc bookings

Flexible ad-hoc bookings can be made through the online booking system once onboarding is complete.

Flexible bookings can be cancelled with 24 hours’ notice, subject to the hire agreement.

Fees and payment

Room hire fees are shown on the Rates & Availability page. A one-off £30 setup fee applies when joining Bristol Therapy Rooms. This includes the option to be listed on the Yogasara therapy team page with a photo and short bio.

A £5 monthly administration fee applies if no bookings are made in the previous month.

Invoices are issued monthly and paid by direct debit.

Cancellations, changes and notice

Flexible booking cancellations require 24 hours’ notice, subject to the hire agreement.

Fixed weekly slots require one calendar month’s notice to end or change, subject to the hire agreement.

If you need to change your booking arrangement, please contact Bristol Therapy Rooms by email.

Insurance

Practitioners must hold suitable professional insurance for the work they carry out in the rooms. Bristol Therapy Rooms may ask to see evidence of insurance before confirming room use.

It is the practitioner’s responsibility to ensure their insurance remains current and appropriate.

Use of rooms

Practitioners must use the rooms respectfully, safely and professionally. Rooms should be left clean, tidy and ready for the next practitioner.

Practitioners must not use the rooms for any activity that is unlawful, unsafe, inappropriate for the building, outside their professional competence, or not agreed with Bristol Therapy Rooms.

Use by other practitioners

Booked room time is personal to the therapist/account holder unless Bristol Therapy Rooms has agreed otherwise in writing.

Practitioners must not sublet, share, transfer or allow another person to use their booked time without prior written agreement.

Use of Bristol Therapy Rooms name and address

Practitioners may say that they work from Bristol Therapy Rooms as their place of practice.

Practitioners must not imply that Bristol Therapy Rooms employs, endorses, supervises, verifies or clinically manages them.

The Bristol Therapy Rooms address must not be used as a registered office, tax registration address, business correspondence address, or for confidential or client post.

Confidentiality and client information

Practitioners are responsible for maintaining client confidentiality and for complying with any professional, legal and data-protection duties that apply to their work.

Confidential client information, notes, forms, records or personal data must not be left in the rooms or communal areas.

Clients and visitors

Practitioners are responsible for their own clients and visitors while using the rooms. This includes ensuring clients know where to go, arrive at the agreed time, and use the building respectfully.

Practitioners should not allow clients to access rooms or facilities outside the agreed booking time.

Full hire agreement

This page is a public summary of the main terms. The full hire agreement is sent during onboarding and forms the detailed agreement between Bristol Therapy Rooms and the practitioner.

If there is any difference between this summary and the full hire agreement, the full hire agreement will apply.
